Overview of Position: Charleston Charter School for Math and Science is currently accepting applications for Data Clerk and
Administrative Support. This position is a critical role in ensuring operational compliance, fiscal sustainability, and
professionalism in the CCSMS school culture. This position uses the PowerSchool pupil accounting system and other
databases for reporting requirements. This position reports to the Office Manager.
Essential responsibilities include, but are not limited to:
 Manage school-wide pupil information data systems (PowerSchool, student attendance, student incidents to ensure
demographic data is current and correct);
 Ensure all data entry (coding) is entered into Powerschool correctly and on time with 10, 15, 45, 90, 135, 180
reports sent to the CCSD and SCDE offices (working with CEO to ensure reporting is accurate) by deadlines;
 Ensure that all SPED, ESOL reports are kept on file (including special education rosters, homebound, etc.);
 Maintain all student attendance and attendance-related duties in a timely manner (enter student attendance daily
in Powerschool ensuring attendance coding is correct -excused, unexcused, tardies, truancy, homebound, etc.);
 Coordinate with guidance and special education staff to ensure all data are correct;
 Maintain accurate student files and records, ensuring student contact and coding information are accurate and upto-date;
 Manage the collection and maintenance of student and school information (receiving forms and paperwork,
tracking missing forms, managing databases, updating contact information, keeping records current, filing report
cards and test scores in student files, etc.);
 Request and release student records in accordance with district and school policies;
 Maintain the records in the school records vault ensuring that the vault is clean, organized and files are correctly
stored in accordance with CCSD compliance;
 Purge records from previous school years and shipping to District archives;
 Assist receptionist with managing phones, mail, and visitors in the reception area when the receptionist is not
available;
 Ensure positive customer service at all times while communicating effectively and professionally with school
personnel, students, families and outside agencies;
 Enthusiastically pitching in wherever needed to make the day run smoothly and safely; and,
 Take initiative when the need arises as well as taking on other tasks as assigned with a positive attitude and
commitment to the mission of the school.
Skills, experience, and knowledge desired:
 Ability to maintain a calm, professional demeanor in the face of competing demands and external pressures. Must
enjoy interacting with people;
 Having knowledge of computers and office practices with a high level of accuracy in data entry and management.
Proficiency with Microsoft and Google documents and spreadsheets;
 Ability to be creative with problem-solving and critical thinking skills;
 Having strong time and task management skills to ensure multiple projects are completed by deadlines;
 PowerSchool experience is not required, but demonstration of similar database management experience is
required;
 Ability to work resourcefully, make decisions, and solve problems with school data and information provided;
 Having analytic skills to interpret county and state policies governing enrollment/withdrawal, attendance, and other
student data records;
 Ability to learn quickly and implement systems in a fast-paced, dynamic, education environment;
 Ability to collaborate on projects and communicate effectively with co-workers and volunteers;
 Ability to take initiative, prioritize tasks, and work independently; and
 Having resilience and self-reflection with a healthy sense of humor.
 Enthusiastically taking on other duties as assigned and proactively pitching in wherever needed to make each day
run smoothly and safely.
Education, Experience, and Skills desired:
 Bachelor’s Degree preferred but not required.
 Experience with middle and/or high school students.
 Creative problem solver with a sense healthy sense of humor and a resilient spirit.
Requirements:
 Keep information confidential as required by law.
 Afterschool meetings with some periodic evenings and weekends, as needed.
 Background check as required by the State of South Carolina.
Salary: The Charleston Charter School for Math and Science pay scale is aligned with the local CCSD pay scale.
