    Position Summary/Goal: Collect, organize and report student and staff data for analysis using multiple data sources and data analysis tools. Serve as district PIMS Administrator. Responsible for leadership, management, process development, documentation and data administration for district's student information system, Child Accounting, and PIMS reporting.

    Qualifications:
    • Bachelor's degree required, with educational coursework in data analysis, preferred.
    • Minimum of one year successful experience in public education.
    • Data management experience preferred.
    • Excellent written and oral communication skills.
    • Demonstrated organizational skills.
    • Demonstrated budgetary skills.
    • Demonstrated knowledge in Excel.
    • Experience and/or knowledge of Pennsylvania School Code.
    • Experience and/or knowledge of Pennsylvania Child Labor Laws.
    • Demonstrated ability to collaborate with administrators, educators, students, parents and the larger community.
    • Pennsylvania Notary Public

    • Physical Demands: Physical requirements are the same as those encountered in the course of a typical professional office environment.
    • Work Environment: School and office with frequent travel between schools, and various locations within the Erie community. Occasional travel to relevant professional conferences and meetings outside the district.
    Essential Duties and Responsibilities:
  • Collect, audit, monitor and report data and documents in accordance with the Pennsylvania Information Management System (PIMS).
  • Manage the collection of all student and staff data and reporting for PIMS.
  • Assist in the management of the student information system, the student registration system, and the state information system.
  • Train appropriate personnel on the district student information system and PIMS.
  • Read and interpret PIMS manuals and guidelines concerning data requirements and communicate to district staff.
  • Act as a leader, teacher, facilitator, and information source in the areas of the district's information system and PIMS.
  • Meet deadlines for data submission to the Pennsylvania Department of Education.
  • Download and upload all student and staff files to and from the district's student information system, HR system, PASecureID, and PIMS systems.
  • Collaborate with data stakeholders to ensure accurate data submissions.
  • Maintain, edit, organize and understand files created and saved in conjunction with the reporting process and schedules.
  • Understand and correctly interpret error reports related to the data movement process between the district and PDE systems.
  • Communicate with PDE representatives, the district information system and within the school district concerning PIMS system changes.
  • Perform other duties as assigned that deal with the areas of the district's information system and PIMS.
  • Local Security Administrator (LSA) for MyPDESuite and PVAAS.
  • Oversee the daily operations of the Child Accounting department and staff.
  • Oversee the arrangement of all aspects of the annual spring kindergarten/PreK registration.
  • Manage and refine the student central registration process within the district, including kindergarten/PreK registrations.
  • Maintain and store archived records for withdrawn students and provide information to schools as needed.
  • Maintain knowledge of immunization requirements and work with school nurses as needed.
  • Interpret PDE guidelines and district policies and regulations as related to federal and state child accounting process.
  • Maintain the child accounting handbook.
  • Attend PDE child accounting meetings (fall and spring) and present updates to district staff.
  • Meet with auditors and respond to questions as needed with regard to PDE reports.
  • Maintain district calendars ensuring the minimum instructional day/hour requirements are met.
  • Maintain Act 80 Exception system to gain PDE approval for early and full-day dismissals.
  • Maintain Boundary, Transportation, Low Income, and SDRP maps.
  • Maintain valid Notary license for completion of medical forms, PDE-1302s and multiple occupancy affidavits.
  • Process applications of new students and inter-district transfers.
  • Act as Issuing Officer of Work Permits.
  • Facilitate annual public and non-public student census.
  • Maintain charter and cyber-charter school enrollments.
  • Audit, process, and pay charter and cyber charter monthly tuition invoices.
  • Track students in statewide placements.
  • Audit, process, and pay monthly tuition invoices of students in statewide placements.
  • Facilitate residential students in the Perseus House CLC and Erie County Prison, including enrollments, withdrawals, attendance, non-resident 4605s and invoices.
