Office Supervisor, CTE
• Perform daily auditing and processing of CTE paperwork analyzing submitted paperwork for procedural compliance
• Provide daily assistance in the management of CTE Central Office administrative needs include but not limited to office supplies, RFA's, Workers Compensation, and other paperwork
• SunTrust procurement card coordinator (1st approval of credit card transactions for 3 credit cards)
• Provide regular monitoring of the organizational spending of CTE fiscal records
• Assist in monitoring Central Office expenditures per researching, analyzing and reconciling departmental reports to maintain expenditure control
• Sustain a record keeping system of all CTE documents (electronic and tangible) with assistance from the CTE Operations Coordinator
• Respond to inquiries from CTE staff regarding any questions or concerns
• Provide support to CTE Central Office and CTE school base staff with travel arrangements for various CTE professional development and training

Summary:

Plans, implements and manages all the activities and workload in the given department. Evaluates and communicates budget components and assists the Director in a wide variety of duties.

The individual in this position demonstrates the use of cost-effective procedures and fiscal management and confers with his/her supervisor when making budget related decisions.

The individual in this position will assist management in making high-level decisions that may have great impact on others. However, most of the decisions made are discussed with the higher level of management prior to implementation.

Essential Duties: (These duties represent a sample and may vary by position.)
  • Provides leadership, supervises staff, and provides assistance in the administration of the assigned office.
  • Participates in the selection of staff; provides or coordinates staff training; works with employees to ensure quality acceptable performance.
  • Develops and generates monthly budget spreadsheets, assists in developing and amending department budgets, assists in monitoring expenditures, prepares and processes related reports.
  • Manages and distributes work load to provide for collaborative clerical support system within Student Services Department
  • Corresponds with various agencies, individuals, and departments as appropriate for assigned responsibilities.
  • Analyzes operations and activities of assigned area, recommends improvements, modifications, and prepares various reports on operations and activities.
  • May represent CMS in various capacities as designated by his/her immediate supervisor.
  • Receives, examines and maintains a variety of reports, processes forms and requests for information, prepares and distributes correspondence.
  • Drafts memos, documents and letters to community leaders, parents, department staff, other CMS personnel, members of Board of Education and where appropriate composes letters for Assistant Superintendent's signature
  • Maintains supply and furniture inventories
  • Performs related duties as assigned.

    Education and Experience:

    Minimum
    • Associate's degree or related equivalent experience
    • Office Administration/Office Supervision - three (3) years
    • Willingness to work flexible hours as needed to accommodate a variety of projects

    Desired

    • Bachelor Degree preferred in Accounting or related field
    • Office Administration/Office Supervision - five (5) years

    Knowledge / Skills / Abilities:
    • Knowledge of principles, methods, & practices of Lawson, budgeting, and finance policies
    • Knowledge of Lawson System including Kronos
    • Knowledge of budget management and managerial skills including of budget transfers, budget status reports and budget inquiries
    • Knowledge of modern office practices, procedures and methods including the use of standard office machines and computer equipment, including Microsoft Office products (Word, Excel, PowerPoint and Access).
    • Ability to be creative and innovative.
    • Ability to provide leadership to co-workers and staff.
    • Strong analytical and decision-making skills based on district and organizational existing policies
    • Must be detailed & task oriented
    • Excellent organizational and time management skills
    • Ability to multi-task
    • Exceptional interaction talents with the ability to maintain and establish positive working relationships within the department and with other CMS departments and staff members especially the Finance Department

    • Ability to maintain up-to date knowledge of available hardware and software.

    Physical Requirements:

    The work is primarily sedentary (5 to 8 hours) most normal work shift. It requires the ability to communicate effectively using speech, vision and hearing. The work requires the use of hands for simple grasping and fine manipulations. The work at times requires bending, squatting, reaching, with the ability to lift, carry, push or pull light weights.
